QUOTES LINKED TO CASES
A quote is not a separate PDF — it lives inside the case. The surgeon opens it from the order, you open it from the same order. When the case advances to production, the quote stays as historical reference for Billing.
TRACKABLE RESPONSE TIME
Each quote logs when the request arrived, when you sent the response, and when the surgeon approved or rejected. If your average response time is 8 hours, that is an objective metric — not surgeon opinion.
Prerequisite: This view is useless without Pricing and Equipment & Materials configured. Without those two catalogs, quotes come out empty or with "no price configured".

SMART PREFILL
If the request is for a zirconia crown on Straumann, the system finds the items in that category and material from your list and adds them automatically. You review, you do not build from scratch. The goal is for 80% of your quotes to go out in under a minute.
DISCOUNTS AND PACKS
For frequent surgeons or high-volume cases you apply a percentage discount or create a pack (e.g., 4 crowns + try-in at the price of 3.5). The discount is recorded on the quote — the surgeon sees it and you keep the audit trail.
QUOTE NOTES
Free space for specific conditions: expected delivery time, payment terms, prerequisites for the lab. A quote is not just prices — it is an agreement. The note travels with the case to history.
Good practice: If the request is ambiguous (e.g., surgeon did not specify material), open the order's TrazaChat and ask before quoting. Quoting wrong and renegotiating burns trust; asking first builds it.
How a quote evolves
Pending, approved, rejected, auto-approved
Each quote lives in one of four states across its lifecycle. Knowing them tells you what to expect and what action to take.
PENDING — WAITING FOR RESPONSE
You sent the quote and the surgeon has not opened it or responded yet. If it sits in this state more than 48 hours, open the case TrazaChat and check in. Do not insist with parallel emails — keep the conversation in one channel.
APPROVED — TO PRODUCTION
The surgeon explicitly approved. The order automatically advances to the validation and design flow. The quote stays anchored to the case for Billing when it completes.
AUTO-APPROVED — PRIOR AGREEMENT
For surgeons with established relationships, you set up an auto-approval agreement: up to a certain amount and for certain categories, quotes are approved automatically without the surgeon having to tap "approve". Speeds up the flow when trust is already there.
REJECTED — COMMERCIAL LEARNING
The surgeon explicitly rejected. If they left a note ("too high", "going with another lab", "swap the material"), you read it here. A rejected quote is not failure — it is information for the next one. If repeated price-driven rejections appear, review your Pricing list.
