LAB GUIDE

Connect surgeons to your lab

Without connected surgeons, your lab account sits empty. This is the first screen that matters to start receiving orders — you invite your surgeons by email and accept the ones who reach out to you.

What you see when you open the view
In your lab panel, open the section Your Lab » Surgeons. It is the central relationship panel: three KPIs at the top and three lists below.

CONNECTED SURGEONS
The main list: surgeons who can send you orders and for whom your catalog is already configured. Each card shows the surgeon's name, their clinic, and the count of active orders they currently have with you.
INVITATIONS YOU SENT
Surgeons you invited who have not accepted yet. You can resend the invitation (in case the email got lost) or cancel it to free up the slot.
RECEIVED INVITATIONS
Surgeons already on TrazaLab who reached out to you. Each one has an Accept button and a Decline button. Accepting establishes the bidirectional connection instantly.
Why this view matters: It is the first screen TrazaLab automatically takes you to after signup if you do not have any connected surgeons yet. Without this list, the lab account cannot receive any orders.
You take the initiative
Invite a surgeon by email
For your regular surgeons who do not use TrazaLab yet, you send the invitation. If they already have an account, the connection is offered instantly. If not, the email takes them to signup and the connection is established automatically when they create the account.
SURGEON EMAIL

INSTANT CONNECTION IF THEY ALREADY HAVE AN ACCOUNT
If the surgeon's email is already registered on TrazaLab, they do not have to wait for the email. The invitation shows up directly in their panel under "Received invitations" with an Accept button.
THE EMAIL MATTERS
TrazaLab verifies that the recipient email matches the account they create or already have. If you invite the surgeon's personal email but they sign up with the clinic email, the invitation will not activate. Confirm with the surgeon which email they'll use before inviting.
SIMULTANEOUS INVITATIONS
If you work with several surgeons, send one invitation per surgeon. Each is tracked separately in your pending list and you can cancel any one individually if you decide not to move forward with that surgeon.
Typical use case: You close a first meeting with a new surgeon. Back at the lab, you open Surgeons, enter their email, and send. The surgeon gets the invitation that same afternoon and by the next day you are connected — ready to receive their first order.
When a surgeon reaches out
Accept a received invitation
If a surgeon already on TrazaLab invites you, their request appears under "Received invitations" in your Surgeons view. Each card has the surgeon's details and two buttons: Accept and Decline.

INVITED YOU
We continuously enhance the interface to deliver a premium experience. The view in your account may vary slightly.
WHEN YOU ACCEPT
The connection activates immediately. The surgeon can start sending you orders — provided your Equipment & Materials catalog is set up, their order form automatically adapts to what your lab accepts.
WHEN YOU DECLINE
The invitation disappears from your list. The surgeon does not receive an explicit decline notification — the connection simply does not get established. If you change your mind later, you can invite that surgeon yourself from the Invite tab.
Before you accept: Confirm that your Equipment & Materials catalog is up to date. The surgeon's order form is populated from your options — if your catalog is empty, the surgeon stares at a formless form when they try to create their first order.
After connecting
Manage the connection
A connection is not forever. You can disconnect a surgeon (they stop being able to send you new orders; active ones continue) or reactivate a previously inactive connection.

ACTIVE
DISCONNECT
If you decide to close the relationship with a surgeon, open their card and select Disconnect. Active orders the surgeon already sent you continue their normal flow — disconnection only blocks new orders. This prevents leaving "orphan" cases in production.
RECONNECT LATER
Disconnection is not destructive. The history of previous cases with that surgeon is preserved. If you decide to work together again in the future, either party can invite again — the history stays intact.
COMMUNICATION WITH THE SURGEON
For per-case communication use TrazaChat inside the order. The Surgeons view is for the relationship, not for chatting — each conversation lives in the case it belongs to.
Good practice: Check the Surgeons view at least once a week. A received invitation sitting unanswered for days is a surgeon who already decided to start working with you — do not keep them waiting.
Start with one invitation
Your lab does not receive any orders until you have at least one connected surgeon. Open Surgeons, send your first invitation, and configure your catalog in parallel.
